WHD Solutions – Terms & Conditions
Artwork, Website Approval and Print.
Although WHD take great care in producing designs and artwork, we would request that you carefully double check all the details and information before we/you send anything off to print. If the artwork is correct and you are happy for it to proceed to print press / email sends / going live in general – then please email back your approval.
Please note: The last check by the client before print / email send / go-live, WHD Solutions cannot be held responsible or incur any liability for errors beyond this stage. It is solely the client’s responsibility to sign-off all work before the final stage – no exceptions.
If you need to make any final amends then please email or phone us to let WHD know, and we will resend the artwork for approval.
As all print is undertaken by third parties, this cost must be paid for up-front.
Hosting.
All hosting packages are paid for monthly (unless otherwise agreed by both parties).
If payments are not made on hosting accounts when they are due, we will contact you with numerous attempts.
On failure to pay hosting as and when it’s due, this will incur a forfeit of suspension and a fee of PLN360 for reinstatement.
If a website transfer is done before the free 6 months hosting period, then the full 6 months is payable. Any other requests that are made in this period are subject to our hourly rate.
Websites will be suspended after the hosting invoice falls 14 days past due and only reinstated once payment has been made.
Websites will be permanently DELETED after payments due exceed 100 days with no refunds.
If hosting is not paid we reserve the right to hold all files in a suspended state until payment has been made.
As webhosting is a 3rd-party service offered by www.20i.com, WHD Solutions have no control over their physical servers, only the files that reside on those servers.
Outage (including server down-time) by www.20i.com cannot be laid to blame with WHD Solutions and (therefore) WHD Solutions shall not be liable for any business or financial loss due to any outage (including server down-time) through any service(s) including websites, databases, emails or any other service that is offered from 20i.
WHD Solutions are simply a re-seller of www.20i.com Services and only offer services outlined from www.20i.com.
If for any reason you wish to move your hosting away from us, we can back up your site and database and send this to you. There is a termination fee of PLN300 which must be paid before we hand over the files and database.
Website launch and upkeep.
The upkeep of your website is the responsibility of the Client unless you have a Website Security & Maintenance Package from us.
Websites that are made live are essentially signed-off – Once launched our hourly rate then comes into force.
We do ask you keep all your plug-ins and core WordPress files up to date to help avoid the possibility of vulnerabilities and hacks.
The fee for a ‘unhack’ is charged hourly at PLN360 per hour – a typical unhack is upwards of PLN2750, depending on the level it was compromised.
This ‘unhack’ fee is not deemed necessary if you are on our Website Security & Maintenance Packages and one of your twelve most recent backups will be used to unhack the compromised files.
If you are paying by your own means for plugins, it is your resposibility to manage said payments – WHD Solutions cannot be held responsible for any payments made by the client, subscriptions or anyhting else related to payments for these plugin.
Support on the site is for the following:
- Domain issues
- Hosting issues
- General website issues (WordPress)
This does not include any 3rd party services such as:
- Google Ad Services
- Trustpilot or any other rating service
- Anything outside of the hosting, domain or WordPress environment
Website Security & Maintenance Package.
Regarding backup of files and databases, we offer a service were WHD will (monthly) check your site, update accordingly and back up your website and associated databases.
We also audit your plugins, premium forms, site loading speed and WordPress core files to make sure all is working as it should.

Use of design.
We reserve the right to use any design we create for WHD’s promotional purposes, excluding items covered by an NDA (Non-Disclosure Agreement).
Any images that are used on your site are your responsibilty, WHD Solutions cannot be held responsible for any legal use of images.
Copyright.
If a client supplies photos/images/copy for any publications either online or offline and they have not been passed for copyright use, WHD Solutions cannot be held responsible for any copyright claims. The claim is with the client as the photos/images/copy was supplied by the client as ‘ready to use’.
Revisions.
We do state ‘unlimited’ revisions, this is seldom abused – we do have a ‘fair-use’ policy where if we feel this is being abused the unlimited becomes nulled. We reserve the right to action this without warning if we feel abuse of our fair use policy is being abused.
Additions to ongoing / reoccuring work.
WHD have many clients whom pay for services on a flat-rate pcm. These services are based on an avereage amount of hours worked over a 12 month period. However, if large amounts of work are ordered and carried out that goes over the monthly allocated time and the client cancels services with WHD Solutions, the full amount of the work carried out over quota will be billed. E.G.: Client pays monthly for SEO, but then requests a 32 page brochure designing and constructing under the umbrella of the SEO work. A week later the client says they no longer need the SEO work, therefore the time the brochure took to design and construct will be invoiced to the client in addition to any other outstanding fees payable.
Any support that is paid for monthly is for the following:
- Hosting support
- Domain support
- General website upkeep
This does not include any 3rd party services such as Trustpilot, Google Ad Services etc.
Payment Terms.
All new work requires a 50% deposit and the remaining 50% on completion and if the deposit could be paid by using a debit/credit card – all instructions are on our invoices that are sent electronically, we can commence – Deposits are non-refundable as are any payments made after the deposit.
All invoices are to be settled 7 days from sending. Failing to do so will result in 5% per month being added to the invoice after the initial 7 days.
Larger projects can be paid monthly over longer periods with no interest due – please ask us if you wish to pay over a longer period, we are always happy to discuss.
If for any reason a project is cancelled or the client decides to change provider, but WHD Solutions have worked through the half-way mark (i.e. over the deposit threshold of 50%), a percentage of the final invoice will be due for; hours worked up to / percentage of project complete.
UK VAT registered companies are exempt from paying VAT in Poland. Non VAT registered businesses / UK sole traders are due VAT at 23%.
All prices on this site are excluding VAT at 23%.
As from 01/06/2024 all invoices late by over 7 days will be subject to a monthly 5% charge being added to the overall invoice amount.
Regular, repeat customers will get 15% off websites up to the amount of 10,000 PLN, then 10% for webistes over 10,000 PLN.
General T&C’s.
We cannot be held responsible for loss of trade. It’s up to you how you run your business. The material we produce if you’re your own promotion.
Once a deposit has been paid and work has commenced, this deposit in non-refundable.
Our preferred method of communication on a project is e-mail.
Once your email has been entered into our accounting software, you are opted in to marketing emails from WHD Solutions. We never loan or sell your information. You can unsubscribe at any time.
We do communicate through other means, but we may ask you to ONLY email details that relate to the following:
- Amends
- Briefs
- Money matters
- Legal matters
- NDA matters
- SLA matters
- Signing off projects
Early Release
If you require to be released early from our services, the fee payable will be in full of the next due invoice. We may give a good will guesture of a discount depending on how long you have used our services.
